Follow-up workflow phase

Follow-up workflow phase is optional phase in the workflow. Follow-up workflow phase is designed to set follow-up actions for the users / group of users. 

Settings and file-attachments management

  • permit or prohibit file-template replacement;
  • permit of prohibit file-attachment downloading; 
  • set the mode of files opening online: 
    • online editing;
    • online editing (in review mode only);
    • online preview (with external online editor);
    • PDF (document conversion to PDF);
    • preview as image (page by page);
    • browser native support;
    • deactivated.

Process Parameters

  • Auto-move to the next workflow phase. Administrator may permit or prohibit automated workflow transfer to the next workflow phase. In case the setting is not enabled - the document after processing will be returned back to the Initiator. 
  • Route optimization by excluding participants who provided their feedback on previous iterations. Administrator may activate the functionality of automated workflow route optimization. Once this functionality is enabled, the users who have already processed the document on the previous iterations would be excluded from the list of parties who shall process the documents on subsequent iterations. The excluded users are being automatically added to the list of users who will have the respective access rights to the document in the reading mode (this possibility is provided in order for the excluded users to have access to the document if/when required).
  • Condition for transferring document to the next workflow phase. Administrator has rights to set conditions under which the document will be moved to the next stage: «completed», or «any action».
  • Workflow route. Administrator has rights to define workflow route for Follow-up actions: «Flexible route», or «Fixed route». «Flexible route» is designed to provide the Initiator of the document workflow with flexibility to define the workflow  «on the fly» by defining the list of users who shall perform particular actions / follow-up. «Fixed route» is designed to set the fixed workflow. If «Fixed route» is enabled, the Administrator shall define the users who shall perform particular actions / follow-up and may enable / disable possibility for Initiator to change workflow route afterwards. Note: follow-up terms (days) - are number of days (lead time) given to all users to perform follow up.
